Background
Stored queries are pre‑built, saved database searches that retrieve and display client, appointment, or operational data using predefined logic and criteria. It is a report‑like shortcut that pulls information directly from a day-old copy of Live and presents the results in a table view for users to review.
Search for Stored Queries
A search option has been added to the Stored Queries window (Report/Stored Queries) to allow quick and efficient search for the report by name or description.
- Go to Reports / Stored Queries
- Select the 'Search' icon which is shown as a magnifying glass on the tool bar
- Search by the Name or Description of the Report
Some queries will ask you to enter information when you run them. These are called dynamic entry values. When prompted, type the requested value into the Ask Value field and run the query. For example, for PC POS, enter your PC POS three letter code.
Common Fields and Definitions
File Number is a unique Profile EMR‑assigned identifier. Every record in Profile EMR has a File Number.
PARIS ID is a unique identifier from the PARIS system that links a client’s record across community and health authority systems.
PC POS (Primary Care Place of Service) indicates the clinic or team where the client is registered as a Primary Care client. This reflects the client’s main primary care attachment.
ALT POS (Alternate Place of Service) indicates a clinic or team where the client receives services in addition to their primary care clinic.
Date Last Contact (Date Last Seen) is populated exclusively by the creation of contact-type activities (e.g., new encounters, interventions, phone calls) and is not affected by appointments, tasks, or other non‑contact objects, while Date Last Changed reflects edits to client demographics or clinical details only.

| Clients in ALT POS |
This query generates a list of clients in a specific ALT POS. The client must have this ALT POS on their yellow bar for them to be in the list. This list can be used to remove a a client from the POS. When a client is selected from the list and appears in the yellow bar, the record can be updated (PC POS, ALT POS, and MRP - depending on the users login credentials). This functionality applies to all reports on this list. |

| Clients in Alt POS (MHSU Care Team) |
This query generates a list of clients in a specific ALT POS. The client must have this ALT POS on their yellow bar for them to be in the list. This list can be used to remove a a client from the POS. | My Caseload - Active Patients | The results display a list of active clients who have the specific clinician as a clinical provider. This is entered in Care Team, or the MRP may be added on the yellow bar. | Clinician user ID (e.g. sdevlaming) |
| Clients Discharged by POS and Date Range | Only for teams using a EMR workflow that includes completion of the Discharge Form (New Encounter > type dcn\). | List of Appointments by Clinic and Start Date | The results show a list of clients (name, DOB, POS, MRP) who have attended an appointment (arrived, seen, closed) at a specific POS. The output shows the appointment status, type, reason, and attending clinician. This report can be used to determine the type of appointments a clinic is experiencing in a period of time (by month, quarterly), the number of no-shows, and the number of walk-ins. |

This is the same query as List of Appointments by Clinic and Start Date but excluding the data entered in ALT POS free text field. It can be run by a clinic which does not enter (does not use ALT POS free text field in their workflow). The guidance provided by VCH Privacy Department is that all VCH data must be kept on the VCH network (not personal devices or c: drives). The VCH network is managed by PDHIS with both backup and firewall functionality that protects the data and ensures it maintains in VCH’s custody. The key risk we are managing here is ensuring the appropriate custody of sensitive VCH data, whether or not it includes personal information.
