Background
Important! A monthly maintenance of Profile EMR happens every first Tuesday of the month. As a result, Excelleris downloads of results, documents, and transcriptions will happen later than usual but are typically available by 0930hrs.
Transactions can be defined as results, consults and scanned documents. Transactions get loaded into EMR each morning. The lab results are matched based on client’s last name, first name, date of birth, sex, PHN as well as ordering clinician’s last name and MSP. If the result cannot be matched, it will automatically go to Manual Matches.
All transactions that have not yet been signed are viewable in the Unsigned Transaction list from the Work Center. Transactions (signed or unsigned) can be viewed in a client’s Medical Record under Results.
Tip! In Results, italicized result means this is a Preliminary Report. Results with * beside it means the result has an annotation.
Unsigned Transactions List
It is important to understand which filters to adjust in order to see the transactions you are looking for: View filter (right of screen) and Assigned filter (that sits on top of the transactions).
Unsigned Transactions assigned to you at ALL clinics you work at
When you sign into the EMR, the Assigned filter will default to your name and the View filter will default to All My Results From Any POS (as shown in the image above). From there, you can review, annotate (if required) and sign the transactions.
Unsigned Transactions assigned to you at your CURRENT clinic
If you only need to see YOUR transactions from the clinic you are working at that day, change the View filter to Results Current Clinic and keep the Assigned filter to your name.
Unsigned Transactions when you are Clinician of the Day
If you are Clinician of the Day and need to see the unsigned transactions that are assigned to other clinicians, change the View filter to Results Current Clinic and the Assigned Filter to All Permitted.

Unsigned Transactions and Signing Group
Some clinics have been configured to have Signing Groups. Signing Groups are a filtered list of the All Permitted list. You will only see this option if you are part of that Signing Group.
Signing Groups are managed by your clinics SuperUser via Group Management Tool.
Unsigned Transaction Features
1. These are the icons you use to address the transactions:
a. Sign the transaction (this will remove the transaction from the Unsigned Transactions list)
b. Annotate – adding text to the transaction
c. MRP to Review – this icon signs the result and automatically creates a Task for whoever is listed as the MRP
d. Review At Next Visit - Signs transactions and automatically creates a Front of Chart Task (click here for FOC Tasks help file).
2. These icons are for:
a. Viewing the Last 20 Signed Transactions
b. Toggle Check – use this icon if there is more than one transaction you want to sign with one click after review. Click on the name of the client, and then click Toggle Check. A green check mark will appear beside the name. Click on the next client and repeat. Once you have reviewed all the clients, click Sign All Checked.
3. Expand all or Collapse all
4. Sortable Columns – Example: you can sort lab results by Assigned Clinician or Ordering Clinician. This may be helpful for Clinician of the Day or when you are covering for another.
5. Tabs
a. Unsigned Item/Text tab – these tabs will display the result/transaction in two different formats
b. Information tab – this tab will display details about the transaction itself e.g. Lab Order Number; PHN etc.
c. Cumulative tab - displays the most recent result first
d. Attachment(s) tab – this tab will display a scanned document (if exists). You will see this tab only if the transaction is a PDF document.
Annotate an Unsigned Transaction
Tip! Results with * beside it means the result has an annotation.
You may wish to just annotate on the transaction itself e.g. started drug X on this date. If you want to add an action you must add this as well. For example, Review at next visit.
1. Highlight the individual result that you want to annotate on
2. Click the Annotate icon and a window will pop up to enter your annotation.
3. Click Annotate or Annotate and Sign button
Workflow Tip: When you annotate something like Call Patient in or Pull Chart, you must also create a Task if it is linked to an action.
Annotate and Task an Unsigned Transaction
1. Highlight the individual result that you want to annotate on (as in Annotate an Unsigned Transaction)
2. Click the Annotate icon and a window will pop up to enter your annotation.
3. Enter your text in the annotation window or double click on any of the Common Annotations listed
4. Click on Task drop down list and select one of the available options:
a. Automatically add task for user or group – when you enter the person or group you want to send this task to in the for field, the EMR will create a Task for them automatically with the transaction attached.
b. Manually add task for the user or group – when you enter the person or group you want to send this task to in the for field, the EMR will bring up a Task window for you to add more information manually.
5. In the for field, type in the name of the user or group the Task will be assigned to.
6. Click on Annotate or Annotate and Sign, the result will now have the red annotated text added to the bottom and will be linked to a task.
