Background
If the locum is replacing a specific regular MD or NP, the best way to set up a locum in EMR is to contact EMR Help (email: EMRHelp@vch.ca ). They will make some changes to allow the locum to see the tasks and unsigned transactions of the replaced clinician. See Help File Setting up a Locum in Profile EMR
The Covers For functionality allows a locum or student's name to appear on the schedule. Additionally, an assigned staff can add their name to the generic appointment column so it also appears on the schedule. The "Covers for" functionality provides an option (via an extra tick box) to allow a locum to submit billings under their own name.
Set Up Covers
Covers can be set up in 2 ways:
- For single day at a time - From Appointments
- For setting it up for a few days to weeks – From Control Centre
FIRST METHOD TO SET UP COVERS (use for single day coverage)
- In Appointments find the day which needs to be covered and right-click
- Select Cover
- Enter the name of the person who will be providing coverage in the Cover by field
- If needed, check Change Provider billings to ensure that encounter billing is under the locum's name
This is how it will look on the appointment view:
When a clinician uses the generic provider column in the calendar, enter your name in Cover by and then tick Change Clinician - this will ensure the billing is correct.

SECOND METHOD TO SET UP COVERS (use for multiple day coverage)
Note: for longer coverage, the best way to set up a locum in EMR is to contact EMR Help (email: EMRHelp@vch.ca ). They will make some changes to allow the locum to see the tasks and unsigned transactions of the replaced clinician. See Help File Setting up a Locum in Profile EMR
- Select Organization and then Control Centre
- Select Cover in the left panel then click Add icon
- Enter the details and click OK
Remove the Covers
- Right click on the cover and a menu will appear
- Select Remove Cover
