Background
In Profile EMR, we typically reference the client uniquely by the client’s PARIS ID, or their PHN. We use PARIS ID because PARIS and Profile EMR are synced to share a client’s demographic record, and PARIS remains the “source of truth” for client demographics between the two systems (please note: there are some exceptions e.g. UBC clinics and non-nominal clients).
Other systems in Vancouver Coastal Health use other identifiers to uniquely reference a single patient. This is an MRN (Medical Record Number). A client may have multiple MRNs, depending where the client received service, therefore, we record the MRN Type as well as the MRN Number for a client.
There may be situations where it is efficient to view a client’s MRN on the yellow bar, if, for example, a clinician is using two systems at the same time. Easily viewing the MRN on the yellow bar in Profile EMR allows a clinician to then look up a client in a different system.
Selected POSs (EMR Clinics) have the ability to store MRN and view on yellow bar.
Add a Client's MRN
- Go to Client Registration
- Search and select the correct client.
If the client is on the yellow bar, the Client Reg Form displays client demographics. If this is not the client you want, click the button “New Search” to find the correct client. - Navigate to the bottom of the Registration Form and select the appropriate MRN Type from the drop-list
*Only selected EMR Clinics have the ability to “Add MRN and View on the Yellow Bar” - Click SAVE
The MRN and any other data is saved in the EMR Reg Form for the client. The MRN now displays on the Yellow Bar for the client.
MRNs and other unique identifiers are stored in Alter Client in the “Registry” window. This is NOT editable from the Registry window, however, you can see the date it was entered into the system.
Edit or Remove MRN
- Go to Client Registration
- Search and select the correct client.
If the client is on the yellow bar, the Client Reg Form displays client demographics. If this is not the client you want, click the button “New Search” to find the correct client. - Navigate to the bottom of the Registration Form and remove or edit the MRN number associated with the MRN.
If there is more than one MRN number, please be aware to remove the number associated with the MRN Type - Click SAVE
The Yellow bar no longer displays that MRN number and associated MRN Type. If the client has no other MRNs on record, then nothing related to MRN is displayed on the yellow bar.
An end date is recorded on the client’s record in Alter Client >> Registry if the MRN was removed.
Request Ability to Store MRN in Profile EMR
This feature may be useful for some clinics. To request the ability to store MRN and view on yellow bar, submit a Change Request, and identify:
- The type of MRN (e.g. VPP Cerner)
Please note, this must synchronize with naming conventions in PARIS. - The reason why it is required (explanation of workflow).
