Specialist specific referral form (if available in EMR)
Background
- An Outward referral is a referral created by a clinician in your clinic to an external specialist (provider or organization) outside of the VCH/PHC Profile EMR network.
- Some specialists require their specific referral form be completed and attached to the outward referral – if so, begin with Section 3. If not, begin with Section 4.
Generate a new Outward Referral
1. In New Encounter, go to Actions Panel and click Referrals. The Outward button (far right screen) is the defaulted choice, and then click New Referral.
2. Under the To tab, type the name or organization in the External Provider field (it should appear). In the Narrative field, type the referral information you want to appear in the Reason Letter.
3. Review Reason Letter for content. You can delete information from this section if required.
Note: To add more text, navigate to the General tab and add text in the Narrative box.
Use Update dynamic variables button to refresh any fields that refer to the referral context in the letter.
4. Attachments tab, tick the referral form and other relevant information you want included in the referral

Specialist specific referral form (if available in EMR)
If the service you are referring to has a specific referral form in the EMR, you can use a form to complete the referral.
1. Click New Encounter for the selected client
2. From Actions Panel, click Form
3. Type the name of the referral form
4. Click Find
5. Double click on the desired form to open the form
6. If a prompt appears to save the encounter, Click Yes.
7. Enter the details for the form, Print and Save or click Save
Note: If Save is not available on the screen, clicking X will save the form.
Billing Specialist referral
If your clinic bills specialist referrals select Bill Referral and enter specialist's name in the Ext Prov:
After you save the referral, the Quick Bill for screen shows up. Service defaults to "No Charge Referral". Change the Service and Description as applicable if this is not a No Charge Referral. Click OK to save the bill claim.
The claim will show on the list of claims on the Billing screen.
