Overview
Over the years, we have found that a lot of our Clinics have been requesting a method to management Wait List, Cancellation List and Inward Referral Management. This article was designed to help you with making a decision on which one of these list management methods would best suit your needs.
Inward Referrals
The Inward Referrals functionality is the most robust out of the three. It contains more fields which enables you to store more information that may come your way during management.
Commonly used to transcribe and manage referrals received by an external provider or clinic and requires triaging before an appointment can be schedule for a client.
Benefits
- Highest number of fields available to store information when it comes to managing a referral
- Ability to Track Progress of each entry item
- Ability to click a button to launch Quick Bill
- Ability to convert a Scanned Document into a Referral
- Ability to link an Inward Referral from the Appointment Booking window
Limitations
This functionality is only a management system. There is no method of having a list of referral patients to appear in pop up window when an appointment is cancelled or rescheduled.
Wait List
The Wait List functionality allows users to add a client to a specific type of lists at the Clinic/Place of Service (POS) they are currently logged into and works very similarly to an electronic spreadsheet. There is limited number of fields to can be filled out.
Commonly used to add clients to a list who do not have an appointment due to clinician schedule being fully booked for a duration of time (several weeks to months) and are willing to wait for a period of time before being contacted to get an appointment scheduled with their desire health care professional.

Benefits
- Ability to add clients to list and reference it in the future when appointment slot becomes available to schedule an appointment
- Ability to have Wait List Clients appear in a window when an appointment is cancelled or rescheduled.
- Ability to book appointment within module
- Appointment Booked Icon will signify to user that an appointment has been booked for client.
Limitations
- Users will need to manually close each entry item once it is complete.
- Users have limited Wait List Type selection
- Only one field for Reason and Notes
Request an earlier appointment
The Request Earlier Appointment Functionality enables users to mark an Appointment as needing an earlier appointment by ticking the box called Request Earlier and selecting a POS option. Ticking this box automatically triggers Profile EMR to add the Client Appointment to a list that will appear whenever an appointment is cancelled or rescheduled at one or any POS for the Clinician/Generic Resource they are booked to see.
Commonly used for clients who have an appointment but would like to be seen sooner if their is a cancellation or reschedule of an appointment.
Benefits
- Ability to have identified clients appear in a window when an appointment is cancelled or rescheduled.
Limitations
- There isn't a list or module that you can use to manage clients that have requested an earlier appointment
- Users will need to untick the box from the originating appointment if they wish to remove client from this functionality
- Functionality only works when these two criteria are identified: appointment type and provider
